Location : Tokyo, Japan
Contracting Hotels:
- Manage hotel contracts including update new contracts, review existing contracts
- Compare new contracts with previous year, evaluate increase/decrease and make judgment on value
- Consolidate range of hotels to work with preferred list
- Negotiate special deals with hotels for ad-hoc groups or promotions
- Arrange and manage allotments with hotels during high-season
- Support sales &reservation staff with any hotel issues relating to rates and terms
- Arrange annual incentive agreements with hotels to benefit Exotissimo by reaching room night targets
- Arrange payment credit terms with hotels
- Assist MICE department with hotel selection and requesting rates as required
Contracting with Restaurants:
- Manage restaurant contracts including update new contracts, review existing contracts
- Select a range of shortlisted restaurants per market segment (FIT/GIT, Luxury, Mice) in every location
- Arrange incentive agreement with preferred restaurants
- Contracting with Transportation companies:
- Manage transportation contracts including update new contracts, review existing contracts in every location
- Select a range of suitable suppliers per market segment (FIT/GIT, Luxury, Mice)
Contract administration
- Manage a team to accurately input and update the hotel data base and tariff in our system (Tourplan)
- Regularly review database to ensure correct level of content, accurately manage the level of content to minimize excess data input
- Arrange barter agreements/adverts for Exotissimo brochures
Communication
- Build solid relationships our preferred hotels, for the benefit of flexible conditions as required.
- Arrange hotel inspections for yourself, staff or client as required
- Arrange Hotel Presentations and Training sessions for internal staff
- Regularly send hotel promotion updates to agents (weekly)
- Write inspection reports and present to internal staff and external clients as necessary
- Write hotel factsheets for database
Other:
- Pro-actively arrange low season deals with select hotels for specific clients as necessary;
- Manage preferred hotel selection:
- communicate and present to internal staff
- ensure easy access to this information - print, online, system
- inform and coordinate preferred hotel deals with selected hotels
- Non-Hotel Contracts (shows, cycling, transport, etc.)
- Consolidate hotels to ensure majority of bookings are with preferred
- Deal with Hotels wholesalers and consolidators
KPI's:
- Better and more competitive rates - negotiation at every level
- Incentive agreements with hotels
- Negotiate exclusive hotel promotions only and package up with an itinerary for B2B and B2C clients
- Advertising barters with hotels for print collateral including a new preferred hotels brochure
- Early negotiations with hotels for deals on Group Series Business
- Negotiate Low season deals with hotels for GIT business,
- Ensure a % of hotel bookings are made with preferred hotels in 2012
- Minimize loss of bookings in hotels due to price being too expensive
Qualifications:
- Min 5 years experience in a similar position
- Able to speak English
- Work experience in tourism field is a required
- Good computer skills (word, excel, outlook)
- Positive attitude, hands-on experience,
- Excellent sales and negotiation skills
- Communication skills including reporting
- Flexible to work on irregular shifts basis and long hours during the peak season
- Strong organizational skills, ability to work under pressure and prioritize tasks
- Rigorous, precise and perseverant
